Version 1 · Published 29 October 2026. Contact: info@hayahost.uk.
Who we are
Haya Host Ltd (HAYA HOST) provides hosting, cloud, managed IT and digital services. For privacy questions, contact info@hayahost.uk or write to 124 City Road, London, EC1V 2NX, United Kingdom. This policy explains how we handle information collected through this website and our related communications.
Information you provide
When you contact us, we collect the information you choose to provide, such as your name, email address, company, mobile number, service interests, approximate number of users and sites, and your message. A mobile number is optional unless you choose an SMS option. Please avoid including passwords, payment details or sensitive personal information in an enquiry.
How we use your information
We use enquiry details to respond to questions, assess requirements, prepare proposals, arrange appointments and provide agreed support. Depending on the context, we rely on steps taken at your request before entering a contract, performance of a contract, or our legitimate interests in responding to and managing business enquiries. We may also process information to meet applicable legal obligations.
SMS messages and your choices
Service SMS and marketing SMS have separate, optional opt-in choices. Service messages relate to your enquiry, support request, appointments or service administration. Marketing messages may include offers, company news, new services and technology developments. We rely on your specific consent for the SMS choices shown on this form. Leaving a box unticked does not prevent you from contacting us or purchasing services, and providing a mobile number alone does not opt you in to SMS marketing.
Changing your SMS preferences
You may withdraw SMS consent at any time through the SMS opt-out page, by replying STOP to a supported HAYA HOST message, or by emailing info@hayahost.uk. Reply HELP to a supported message for assistance. We maintain a suppression record to help prevent further texts after an opt-out. If you want messages again, contact us so we can record a fresh, specific request. Withdrawing consent does not affect processing that was lawful before withdrawal.
Consent records
We record the mobile number, the separate SMS choices, the date and time, the form source and the version and wording shown when consent is collected. We retain relevant privacy and SMS terms text with the record. This helps us demonstrate what you agreed to and respect later withdrawals. A previous enquiry without a recorded opt-in is not treated as SMS marketing consent.
Service providers and sharing
We use service providers to host the website, store records, secure access and, where enabled, deliver communications. They may process relevant information on our behalf. Mobile numbers and SMS opt-in information are not shared with third parties for their own marketing. We may disclose information where necessary to comply with law or protect legal rights.
International processing
Some providers may process information outside the UK. Where restricted transfers apply, appropriate safeguards are required, such as an applicable adequacy decision or approved contractual protections. Contact us for information about the arrangements relevant to your request.
Retention and security
We retain information for as long as reasonably needed for the enquiry, service relationship, applicable record-keeping obligations and related legal claims. We review enquiry records and delete or anonymise information that is no longer needed. Consent evidence is retained while we rely on it and where reasonably necessary to demonstrate our handling of consent. Limited opt-out information may be kept to respect your choices. We restrict access and use appropriate technical and organisational safeguards. No online system can be guaranteed completely secure.
Cookies and external resources
The website may use essential technologies for access, authentication and operation. Fonts or other resources delivered by external providers can involve transmission of technical information such as your IP address. Optional analytics or advertising technologies, if introduced, require a separate assessment and any applicable consent before activation.
Your rights and complaints
Depending on the circumstances, you may ask for access, correction, erasure, restriction or portability of your personal information, and you may object to certain processing. You may object to direct marketing at any time and withdraw consent. Contact info@hayahost.uk to exercise your rights. You can also complain to the UK Information Commissioner’s Office at ico.org.uk. We would appreciate the opportunity to address your concern first.
Policy updates
We may update this policy to reflect changes to our services or processing. The current version is shown on this page. Material changes affecting consent will be communicated or require fresh consent where appropriate.
